                 Depending on where and what field we work in there may be a system in place to purchase equipment called bidding. There may be certain defined rules regarding your bidding procedure. Before starting be sure that a bid is actually required, preferred vendor and under required dollar amount might not require a bid. After reviewing the requirements and a bid is necessary follow the steps below to get started....

  • Find the equipment that meets your needs and be specific on your Bid.    example: PictureTel 4500zx, Polycom Viewstation 512. Include make and model.

  • Get a second opinion on the equipment before you bid it. Make sure this is the right piece for you.(i.e is it expandable to meet your future needs?)

  • Be specific on additional options you want or need.

  • State what services are needed from the vendor for the project.          example:  Installation, Training, Service Plans, Ordering lines, etc.             Try to eliminate hidden costs, be clear and get pricing for all of the above options.

  • Ask for references, You need good service and reputable vendors when bidding.

  • Timeframe for Bids to be received and Time and Date when Bids are opened.
