Room rentals have become a staple in the conferencing world. From audio, video or even web conferencing, the ability to find locations to meet for partners, clients or traveling executives to conduct high quality meetings is essential. Below we have covered some tips to help guide you. Location, location, location. There literally are thousands available worldwide. Typically the locations selected will provide service during normal business hours and many have availability for after hours at a premium rate. Most major cites have many spots to choose from but less populated areas may have little choice or you may have to drive to a larger city hopefully near by. The rooms may be very high end boardrooms to simple desks with connectivity. How many people can it accommodate? This is a site specific question and can only be addressed on a case by case basis. The majority of the locations accommodate 4-8 people with the exceptions being a 1 person location and locations that can handle up to 500 people. Typically you will do a little more searching for the large room capacities but they are available. Connecting with others, will depend on the network connections for each location. Audio should be available easily at all sites, as should internet access for a web conference with proper notice. Videoconferences will typically use an ISDN or IP connection and can even be bridged to other networks such as telephone through a provider. Make sure a test is always done prior to your event for best results. Estimating the costs, must be done on a conference by conference basis. This is because pricing typically varies, for example New York City may cost more that Topeka, Kansas due to the local economy and the going rate in the area. The same is true for international calling, where cities with limited numbers of sites are at a premium. A range you can expect is $150 - $500hr. There are sites below the $150 number but typically are low quality or require you to be on their own network so these are the locations to avoid if you want a quality connection.
